Malawi Red Cross Society (MRCS) is a local organization, which was enacted by Parliament under Act 51 of 1966 parliament as a sole voluntary aid society auxiliary to the public authorities. MRCS offices are located in Area 14, along presidential way, P.O Box 30096, Capital City, and Lilongwe 3. The society’s mission is to alleviate human suffering and improve quality of life of vulnerable people through relief, development activities and dissemination of the movement’s fundamental principles.
Malawi Red Cross Society with funding support from Swiss Red Cross and the International Federation of the Red Cross and Red Crescent Societies (IFRC) intends to procure Procurement Software and Fleet Management Software System as listed below. MRCS therefore invites eligible bidders for the supply and delivery in sealed bids;
1. PROCUREMENT MANAGEMENT SOFTWARE SYSTEM.
The e-procurement software must have the following.
- The software should enable provision of fully automated procurement system from Purchase Requisition, Request for Quotations, Bid Analysis, Local Purchase Order issuance, Trucking and Goods received note issuing with online approvals at each and every stage.
- The system should enable Trucking and management of Supplier, Contract, Inventory, Integration capabilities, Budget management, Supplier performance, Contract compliance.
- Multi-device compatibility: The system should be accessed and managed from anywhere, at any time, and on any device with periodic automated software updates.
2. FLEET MANAGEMENT SYSTEM SOFTWARE SYSTEM
Essential Features of Fleet Management Software must include the following
- Strategic Fuel Management
- Enhanced GPS Tracking;
- Proactive Alerts and Notifications
- Optimizing Driver Performance, Behavior, and Retention
- Streamlined Fleet Maintenance
- Integration and Scalability; The systems must have the ability of fleet management software to integrate seamlessly with other business systems is an absolute necessity.
- Precision in Trips and Mileage
- Streamlining Operations with Digital Documentation
Other Features:
Remote Fleet Management, Route Optimization, Seamless Communication, Real-time Notifications Cost Reduction, Efficient Dispatch and Elevated Customer Experience.

The bid document should be hand delivered to Malawi Red Cross Offices (Lilongwe in Area 14) in sealed envelopes clearly marked “PROCUREMENT/ FLEET SOFTWARE on or before 26th July 2024 at 11:30AM.
Bidders must deposit their sealed bid documents into the tender box at Malawi Red Cross Office Head Office (Lilongwe, Area 14). All the bids should be addressed to;
