Saint John of God Hospitaller Services Malawi is a non-profit faith-based healthcare organization established in 1994 to contribute to the development of health for all Malawians including the vulnerable, marginalized, and excluded groups. With its operations in both Lilongwe and Mzuzu, St John of God Malawi is a key provider of tertiary and community-based mental health promotion and care; earty intervention services, special needs and inclusive education for children with both intellectual and physical disability; vocational training for orphans & vulnerable youth including those with a disability; health care and ancillary services for older persons; psychosocial counseling. stress, and addiction management services; rehabilitation of street children; self-help group approach for women empowerment and tertiary level training in Psychiatric Nursing, Clinical Medicine- Psychiatry & Mental Health, Psychosocial Counselling and General Nursing.

Saint John of God Hospitaller Services would like to recruit a Transport Officer for a position based at its facility in Mzuzu.

The Position

Reporting to the Human Resources and Administration Officer, the Transport Officer will be responsible for ensuring a clean and well-functioning fleet, facilitating timely repair and maintenance of vehicles, scheduling routine vehicle service, ordering fuel, reporting vehicle accidents, processing insurance, and arranging COF and monitoring and producing reports from the Vehicle Tracking System (VTS). Responsibilities (which include, but are not limited to):

General

  • Administer driving tests to some employees and recommend them for Management’s authorization to drive official vehicles.
  • Ensure all vehicle maintenance transactions are traceable, documented, and timely executed.
  • Reconcile fuel transactions and prepare fuel orders monthly.

Fleet Maintenance

  • Schedule routine maintenance for vehicles per manufacturer guidelines
  • Inspect all vehicles post-service to ensure they have been serviced according to the manufacturer’s recommendations.
  • Ensure that mechanics are using checklists when motor vehicles come for service to guarantee the completeness of work.

Safety and Security

  • Ensure that all drivers have valid licenses and are fit to drive.
  • Conduct a fitness test on every vehicle before leaving the duty station.

 

  • Report all vehicle-related accidents in line with Saint John of God Hospitaller Services Accident Reporting Standard
    Operating Procedures
  • Process vehicle accident insurance claims and follow them up to conclusion.
  • Ensure required documents (e.g., insurance, COF, etc.) are displayed appropriately on all vehicles and are retrievable at any point in time.
  • Provide or coordinate vehicle security skills training to those using Saint John of God Hospitaller Services Vehicles.

Fleet Management System (FMS)

  • Making sure all maintenance expenses have a job card
  • Making sure all driver’s licenses, COF, and insurance are showing valid in the system by updating the records in the Fleet information system

Fuel Management

  • Maintain a vehicle and generator log system
  • Track and report fuel consumption against the standard rate for each vehicle and generator, and investigate and report any adverse variance.

Requirements

  • Bachelor’s Degree in Transport and Logistics or related qualifications
  • Familiarity with Car Tracks software
  • Ability to use Microsoft Office Products, especially Outlook, Excel, Word and PowerPoint
  • At least 3 years’ experience in Logistics and transport administration in a busy environment.
  • Excellent communication, planning, and organization skills Good analytical, interpersonal, and problem-solving skills
  • Sober and good time management skills Ability to be a Team Leader.
  • Those with experience in vehicle mechanics will have an added advantage
