Position: Senior Assistant Administrator (tenable Lilongwe)
Availability of the position : 25th November, 2024
Specific Duties:
Among other duties the successful candidate will be expected to perform the following duties:
- Assist the School Administrator in managing day to day school operations, ensuring smooth functioning of facilities, maintenance, and outsourced services.
- Ensure that outsourced services are performing to standard.
- Monitor school supplies and liaise with vendors to ensure quality and timely procurement and delivery of resources.
- Support the planning and logistics for school events, examinations, and other special activities.
- Drafting of legal agreements (employment, vendor, service) ensuring compliance with legal standards.
- Assist in maintaining accurate administrative records including vendor agreements, staff files, and compliance documentation for audits, compliance checks, and reports.
- Ensure proper allocation and management of resources, including office equipment, learning materials, and school assets.
- Collaborate with HR on staff recruitment, onboarding, training processes and other HR functions.
- Ensure compliance with labor and employment laws, pension regulations, and other relevant legislation, particularly in relation to staff contracts, attendance, and benefits administration.
- Assist the School Administrator in managing employee relations.
- Assist in preparing necessary documentation for regulatory bodies, including renewals of licenses and permits.
- Ensure safety protocols are maintained and support risk management efforts, including emergency drills and inspections.
- Provide leadership and mentorship to junior administrative staff, ensuring they are trained and supported in their roles.
- Promote teamwork across departments to ensure effective collaboration.
- Work with the School Administrator to support the implementation of new administrative systems and processes that enhance operational and legal compliance.
- Provide input on enhancing operational efficiency, helping the school meet long-term strategic goals.
- Assist in the development of policies and procedures that promote attention to detail and ensure legal compliance in all administrative functions.
Qualifications and Skills:
- Bachelor’s degree in Business Administration, Human Resource Management or a related field.
- 2-3 years of experience in a similar administrative or operational role, within an educational institution is an added advantage.
- Strong understanding of Malawian labor, employment, and pension laws and experience drafting and managing contracts.
- High attention to detail, particularly in managing legal documents, contracts, and school administrative policies.
- Demonstrated experience in legal compliance, particularly with contracts, procurement, and HR practices.
- Knowledge of Malawian educational regulations and administrative procedures.
- Proficiency in using Microsoft Office and other relevant software for reporting and management.
- Proactive attitude and ability to work independently and in a team.
- Good communication skills in English both written and oral.
- Self-motivated, team player, innovative and result oriented.
- Effective communication and interpersonal skills for managing staff and liaising with legal and regulatory bodies.
- Demonstrated leadership abilities and a proactive approach to problemsolving.
- High levels of integrity.
