Human Resources Assistant (tenable in Lilongwe – 1 Post)

We are seeking a dynamic and experienced Human Resources practitioner to join our team as an HR Assistant. The successful candidate will be responsible for providing support to the HR Manager in the provision of human resources and administrative activities for CIC Africa Co-operatives Insurance Ltd.

Key responsibilities

  • Performing administrative duties such as maintaining employee databases and sorting emails for the HR department.
  • Maintaining proper records of employee attendance and leave to assist with payroll duties
  • Assisting the HR Manager in policy formulation, hiring and salary administration.
  • Submitting online job postings, shortlisting candidates and scheduling job interviews
  • Coordinating orientation and training sessions for new employees
  • Serving as a point of contact, providing smooth communication with employees and timely resolution of their queries
  • Managing and coordinating schedules for the HR department, including meetings and events.
  • Ensuring compliance with employment and labour laws
  • Support all internal and external HR-related inquiries or requests
  • Maintaining physical and electronic records of employees
  • Assisting with the recruitment process by identifying candidates, performing reference checks, and drafting employment contracts
  • Maintaining calendars for the HR Management team
  • Overseeing the completion of compensation and benefits documentation
  • Assisting with performance management processes and procedures to ensure compliance
  • Scheduling meetings, interviews, HR events and maintaining agendas Coordinating training sessions and seminars
  • Producing and submitting regular and ad hoc HR reports
  • Completing termination paperwork and exit interviews
  • Keeping up to date with the latest HR trends and best practices.

HR Assistant Requirements

  • Bachelor’s degree in human resources or related field
  • 2 years of experience as an HR assistant
  • Exposure to labour laws and employment regulations
  • Effective HR administration and people management skills
  • Exposure to payroll practices
  • Full understanding of HR functions and best practices
  • Excellent oral and written communication skills
  • Works under pressure and meets tight timelines
  • Computer literate with capability in email, MS Office and related business communication tools
  • Excellent organisational and time management skills
  • Strong decision making and problem solving skills
  • Meticulous and attention to detail
  • Ability to accurately follow instructions.
