The Role:

In striving to provide quality services, Gardaworld (Malawi) Limited seeks to employ a qualified and competent candidate for the position of Human Resource Officer (HRO) based at its Head office in Lilongwe.

Reports to: Head of HR, Malawi

Direct Report: N/A

Place of work/Travel: Lilongwe, Malawi and all other areas of operation in Malawi

Contact and Cooperation:

  • Internally: Main cooperation with the HR, Operations, Finance & All staff.
  • Externally: Legal Advisors, Service providers, Government Agencies, External Lawyers, Clients

Job Summary:

The HR Officer-Malawi will work closely with the Head of HR, Malawi to ensure the implementation of Human Resource policies, procedures, and regulations which are aligned to Strategic and Business goals considering application of relevant laws and company policy. The incumbent will contribute towards the implementation of performance standards enabling our staff to contribute their best. They will also handle various matters including drafting and reviewing contracts, implementation of salaries and benefits, enforcing the HR policies and Code of conduct and generally supporting the Malawi business operations.

Key Responsibilities:

  • Lead in the on-boarding and induction of new staff including training on HR policies, disciplinary code and code of ethics.
  • Promote employer-employee engagement by providing guidance and consultation regarding problem solving, dispute resolution, and regulatory compliance and strive to resolve internal conflict both formally and informally through appropriate conflict management and mediation techniques.
  • Support in the development and facilitate the administration of HR policies and procedures; create awareness to ensure compliance throughout the company; Analyse staff data and provide recommendations for improvement of organization’s HR policies and practices.
  • Keep updated with changes to employment and labour relation laws and regulations and make recommendations to management on the adoption of best practice.
  • Analyse, advise and facilitate the end-to-end disciplinary management process including but not limited to grievance handling, dispute resolution, investigations, and disciplinary action for legal and policy compliance and internal alignment on corrective actions.
  • Participate in negotiations and consultation with the staff representative (s) on behalf of the Company with a view to achieving positive outcomes to proposals which meet the Company’s business goals.
  • Interpret and administer labour agreements entered by the Company.
  • Maintain harmonious industrial relations with the various bodies the Company interacts within the performance of its business. This includes the relevant line ministries and employer associations.
  • Monitoring and/or advising on changes to legislation and regulations that affect the organisation’s statutory obligations.
  • Participate in reviewing employee related litigation and dispute resolution cases in the Malawi business.
  • Drafting and review of employment and consultancy contracts.
  • Participate in the administration of the Company benefits programs including retirement schemes, insurance benefits, wellness programs, workers compensation processes, leave management and payroll processing.
  • Ensure compensation and benefits practices are current and in line with statutes & companies’ regulations.
  • Provide all such other administrative and other duties as directed by the Head of HR, Malawi.

Accountability:

  • The HR Officer, Malawi is accountable to the Head of HR, Malawi for ensuring that HR operations are run in accordance with company policies and for other responsibilities stated in this job description. These responsibilities will be monitored and managed through regular performance reviews and supported through the monitoring of KPIs as guided by GardaWorld Security HR Policies.

Qualifications & Experience:

  • Bachelor’s degree in either Human Resources, Finance, Economics or Laws from a recognized university.
  • Higher Diploma in Human Resources Management. Level 3 and above
  • Higher National Diploma in Human Resources Management; member of IPMM or IHRM Malawi
  • At least seven (7) years’ hands-on experience in a busy HR environment.
  • Working knowledge in application of labour/ employment laws, employment relations law, employee manuals and handbooks
  • Ability to work with numbers, analytical, able to develop scenarios’, with sound business and financial acumen.
  • Experience of working in labour intensive environments.
  • Practical knowledge in Human Resources Management Information systems like NAVISION, SAP or others.
  • Good experience in personnel records keeping and management, Group Life cover management, workers compensation processes, disciplinary process handling, leave management and payroll processing support services.
