The Public Procurement & Disposal of Assets Authority (PPDA) was established by an Act of Parliament to regulate the procurement and disposal of Public Assets in Malawi. PPDA mission is to provide a professional, efficient, and effective regulatory, monitoring and oversight function on all public procurement and disposal matters. To accomplish its mission, PPDA is inviting applications from suitably qualified and experienced candidates to fill the following positions.
Job Title: Help Desk Support Intern – Procurement
Location : PPDA Offices, Lilongwe
Purpose of the Job
The Help Desk Support Intern-Procurement will be responsible in providing support in addressing user concerns regarding procurement procedures and system navigation. The intern will serve as the primary point of contact for suppliers, procuring entities, and internal staff, offering guidance on procurement policies and resolving issues related to the e-procurement platform.
Key Duties and Responsibilities
- Support in providing first-level procurement-related support to users of the e-procurement system, including suppliers, procuring entities, and internal staff.
- Assist users with system navigation, procurement workflows, and tender submissions.
- Address inquiries related to procurement policies, processes, and system usage.
- Support creating and managing user profiles and roles in the system.
- Monitor procurement-related transactions within the system and escalate issues as necessary.
- Assist in the preparation of training materials and conduct training sessions for users on procurement policies and system functionalities.
- Track and manage user inquiries via a ticketing system to ensure timely follow-up and resolution.
- Collaborate with the procurement and IT teams to improve system efficiency and user satisfaction.
Qualifications and Experience
- Applicants must have a bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a related field with basic understanding of procurement processes, regulations, and best practices.
Person Specifications
- Strong knowledge of public procurement processes and policies.
- Familiarity with e-procurement systems is a plus but not mandatory.
- Excellent problem-solving skills and attention to detail.
- Good understanding of supply chain management and contract administration.
- Ability to communicate effectively with users from diverse backgrounds.
- Strong organizational skills and the ability to handle multiple inquiries on time.
