Malawi AIDS Counselling and Resource Organization (MACRO) is a locally registered nongovernmental organization (NGO) established in 1995 to complement Government’s efforts in in the fight against HIV and AIDS and other health related issues.
MACRO’s Vision is “Malawi populace free of ill-Health” and its Mission is “Transform lives of Malawians through provision of high-quality HIV and AIDS, and other health related services”.
Therefore, MACRO is inviting applications from suitably qualified candidates to fill the following vacant position:
Role: Finance Assistants (2)
Position Overview
Supporting the Finance Function in performing day-to-day financial accounting tasks including, processing payments, filing and document retrieval, providing data for report preparation and data input into the MACRO financial accounting system. Providing support in budgeting, financial accounting and reporting of assigned grants management duties.
Qualifications
Bachelor’s degree in accountancy from a reputable institution or studying towards completions levels of ICAM/ACCA professional level, with more than 5 years’ experience in a Non-Governmental Organization. Registered member of ICAM and MAB.
Knowledge and Skills
- Team player.
- Good communication skills both written and oral.
- Conversant with USG (USAID & CDC) donor rule and regulations.
- Knowledge in grants management.
- Knowledge of Quick Books Enterprise system.
- Able to use Microsoft Office (Excel, Word, Power point) and basic Internet skills.
- Problem solving skills.
- Clear understanding of the social-economic fabric of the Country.
- Detailed Understanding of Internal controls.
Responsibilities
- Preparing payment vouchers and ensuring that adequate, valid and original supporting documents are attached.
- Accurately updating the cashbook in the Quick Books Enterprise system on a real time basis.
- Preparing tax schedules and timely remittance to Malawi Revenue Authority.
- Ensure all payments are properly liquidated and filed in a timely manner.
- Updating staff, advance aging list and following up on overdue liquidations.
- Reconcile all fuel advances from all activity cards on monthly and need basis and ensure that replenishments are affected in a timely manner to avoid stock out.
- Disbursement of proof of payments to suppliers, service providers and staff. Ensure that corresponding receipts are collected and attached to payment vouchers.
- Ensure that financial documents are accurately filed in chronological order once payment has been completed to ensure easy tracking of documents.
- Ensure that all payment vouchers are stamped paid to avoid recycling.
- Initiating approval process of project requests by relevant approval matrix.
- Photocopying and scanning of project documents for submission to relevant authorities or stakeholders.
- Making follow-ups on outstanding invoices from suppliers and service providers.
- Documentation of VAT returns.
- Payment processing in the banking system of the various projects.
- Assist with compliance visits by donors.
- Assist with institutional audits.
