FILING CLERK

 Family Health Services (FHS), formerly known as PSI Malawi, has partnered with the government of Malawi through the Ministry of Health (MoH) since 1994 in safeguarding the health of Malawians by using private sector approaches to reconfigure healthcare delivery – (i) through directly delivering innovative social and behavior change communications, social marketing, and social franchising across a wide range of health areas including Reproductive Health, HIV, Malaria and water-borne disease prevention (ii) by playing a market facilitation role, approaching market challenges and opportunities with a system-wide lens that unlocks a self-sustaining market with multiple players that can prioritize, adapt and ultimately thrive without external assistance and funds.

To accomplish its mission, FHS is inviting applications from suitably qualified candidates for the position of Filing Clerk.

Reporting to the Finance Manager the Filing Clerk will be responsible for Responsible for receipt filing, photocopying, and archiving of finance documents. Specifically, he/she will be responsible for the following duties and responsibilities;

  • Sort, organize, and file documents according to established
  • Ensure that all files are accurately labeled and stored in the appropriate
  • Maintain and update filing systems, including both physical and electronic
  • Assist in retrieving and copying documents as requested by
  • Uploading the scanned documents in
  • Input data into computer systems and databases with a high level of
  • Verify and correct data entry errors to ensure information
  • Respond to requests for document retrieval and ensure that files are returned to their proper locations.
  • Provide support to other departments in accessing and managing
  • Ensure all filing practices adhere to company policies and legal
  • Assist with audits and document reviews as
  • Perform other administrative tasks as needed, such as photocopying
  • Assist with organizing and preparing documents for meetings and

 Qualifications, Knowledge, Ability, and Skills.

  • Holder of Accounting Certificate, and those with Accounting Diploma will have an added advantage.
  • 2 years’ working experience in similar position with donor funded projects (USAID, KfW and FCDO)
  • Computer
  • Excellent organizational and time-management
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle sensitive and confidential information with
