Introduction

The Malawi-Liverpool-Wellcome Research Programme (MLW)  is an internationally recognized centre for research and training, funded by the Wellcome Trust in collaboration with our key partners, the Kamuzu University of Health Sciences (KuHes), Liverpool School of Tropical Medicine (LSTM) and University of Liverpool (UoL) among others. We are committed to promoting research and training led by Malawian & International scientists, with the aim of improving the health of people in Malawi and elsewhere in the Region.

Job Summary

The Discovery Hub Administrator shall be responsible for assisting the Discovery Research Support Hub manager in overseeing the training and Development of early and Mid-Career researchers affiliated with the hub and provide administrative support on matters relating to The Hub.  The coordinator will work closely with the Hub Manager, internal teams, Postdoctoral researchers and external partners to ensure that training efforts align with the Hub’s goals and contribute to its mission of advancing research support for early and mid-career researchers

Responsibilities

Training Needs Assessment:

  • Assist in designing and distributing surveys and conducting interviews to identify training and development needs.
  • Support collaboration efforts with team leaders and stakeholders by organizing meetings and documenting specific training requirements.

Program Development:

  • Provide administrative assistance in the design and development of training programs, workshops, and seminars tailored to employee and stakeholder needs.
  • Help create and maintain comprehensive training plans that align with the Hub’s objectives and address researchers’ skill gaps.
  • Assist in the preparation of educational materials, such as webinars, presentations, manuals, and e-learning content, ensuring they are well-organized and accessible.

Program Implementation:

  • Coordinate logistics for Hub meeting, Training sessions and workshops, including scheduling events, arranging venues, and managing participant communications.
  • Prepare materials for the above, ensuring all resources are ready and available for delivery.

Evaluation and Improvement:

  • Support the monitoring and evaluation of the Hub by collecting feedback, assessments, and performance metrics.
  • Assist in compiling data to adjust and improve programs based on evaluation results and changing needs.

Stakeholder Engagement:

  • Help maintain and foster relationships with external Service providers and industry experts by managing communication and scheduling meetings.
  • Organize stakeholder engagement sessions to gather feedback on training needs and offerings.

Budget Management:

  • Assist in overseeing the Hubs budget by tracking expenses and ensuring cost-effectiveness in program delivery.
  • Provide administrative support in preparing budget reports and forecasts.

Record Keeping and Reporting:

  • Maintain accurate and organized records of training activities, participant attendance, and program outcomes.
  • Ensure all training materials comply with relevant regulations and assist in maintaining up-to-date training records.
  • Prepare regular reports and summaries on training metrics and impacts to support decision-making and continuous improvement

  • Creativity: Ability to contribute to the design of engaging and innovative training programs that accommodate various learning styles, enhancing participant engagement.
  • Attention to Detail: Strong focus on ensuring accuracy and consistency in training materials and records, minimizing errors and maintaining quality.
  • Technological Proficiency: Familiar with various training tools and technologies used for content delivery, reporting, and record-keeping, enabling efficient administrative support.

 Qualifications:

Educational Background:

  • Bachelor’s degree in Education, Human Resources, Business Administration, or a related field.
  • Relevant certifications in training and development, project management, or administration are a plus.

Experience:

  • Minimum of 2 years of experience in training and development, administrative support, or a related role, preferably within a research or academic environment.
  • Demonstrated experience in coordinating training programs or workshops.

Health & Safety

  1. Taking full responsibility for ensuring a safe work environment by following health and safety rules at all times for colleagues and oneself.
  2. Keeping up to date and maintain awareness of all Health and Safety issues by fulfilling the following;
  • Attending the scheduled quarterly Health & Safety sensitization trainings at least Once a year
  • Attend a Health and safety induction during the first week of employment, signing acknowledgement and keep abreast of the MLW Health and Safety Policies and their updates
  • Participating in Risk management exercises
  • Bring to discussion all H&S matters observed/experienced during work and meetings
  • Orient Radio Listening Groups and other stakeholders on Health & Safety issues in clear and simple terms.
  • Be available to assist when there is an emergency.
  1. To immediately notify the Line Manager of all Accidents/incidents and potential

hazards / near misses and to complete the MLW Incident Report Form.

Error of Judgment: failure to abide by the Health & Safety protocols and putting one-self, colleagues and Stakeholders at risk and failure to attend 1 Health & Safety session a year, will lead to disciplinary action.
