1. Background
The University Library has recently installed DSpace-Chris software to manage its research outputs through the UNIMA Digital Repository. To effectively manage and showcase the university’s research output, the Library seeks to recruit two interns with a diploma in Computing. These interns will assist in the creation of metadata and the uploading of theses and dissertations into the repository.
2. Objectives
The main objective of the internship is to support the Technical Section of the University Library in the following areas:
• Ensure accurate and comprehensive metadata creation for all theses and dissertations.
• Upload digital copies of theses and dissertations into the DSpace-Chris repository.
3. Scope of Work
The interns will be responsible for the following tasks:
a. Metadata Creation: Review and create metadata for each thesis and dissertation according to the repository’s guidelines.
b. File Management: Organize and prepare digital files for upload, ensuring that each document is correctly named and categorized.
c. Uploading Documents: Upload the prepared files into the DSpace-Chris repository, ensuring that all metadata fields are accurately populated.
d. Quality Assurance: Conduct a final review of uploaded materials to ensure that all documents and metadata meet the required standards.
e. Reporting: Provide weekly progress reports to the Library’s Technical Section Head.
4. Qualifications and Skills
a. A minimum of a diploma in library and information science. Those with additional qualifications in computing will have an added advantage
b. Basic knowledge of database management systems.
c. Familiarity with digital repository software (experience with DSpace is an advantage).
d. Attention to detail and accuracy in data entry.
e. Good organizational skills and ability to meet deadlines.
f. Ability to work independently and as part of a team.
5. Expected Outputs
a. Accurate and complete metadata for all uploaded theses and dissertations. b. Successfully uploaded and accessible documents within the repository. c. Weekly progress reports detailing the work completed.
6. Supervision and Reporting
The interns will report directly to the Head of the Technical Section of the University Library, who will report to the Librarian on progress. Regular feedback sessions will be held to monitor progress and address any challenges.
