The Baylor College of Medicine Children’s Foundation – Malawi (BCMCF-M) is a not-for-profit organization working in partnership with the Malawi Government in the health sector. Our mission is to improve the health and lives of children with HIV, cancer and blood disorders through high quality, high impact, ethical, state of the art comprehensive care and treatment, training of health professionals and clinical research. We are situated within the Kamuzu Central Hospital premises, opposite Kamuzu College of Nursing.
Bristol Myers Squibb Foundation has awarded Baylor College of Medicine Global Health a generous grant of $2.25 million to launch the Comprehensive Cervical Cancer Pilot Initiative in Malawi. This initiative, which will be implemented at Area 25 Community Hospital , aims to tackle cervical cancer, the leading cause of cancer-related deaths among women in Malawi. BCMCF-M invites applications from suitably qualified individuals to fill the following position of:
Position: Administration Assistant
Reports to: Project Manager
Location: Area 25 Health Centre
Position Description:
The Admin Assistant reports directly to the Project manager. The Admin Assistant will assist with store management and other administrative tasks as requested.
Duties and Responsibilities
- Manage office supplies and place orders as needed to ensure inventory is maintained
- Ensure that all visitors are attended to as they arrive
- Direct visitors to different offices
- Attend to all incoming and all outgoing phone calls
- Assist the HR Office with recruitment and interviews; specifically, sorting of applications for shortlisting, printing applications, arranging interview room, assisting candidates with interview forms and directing candidates to interview panel
- Receive all mail and distribute to appropriate offices
- Assist with the filing and archiving of documents when requested
- Handle printing and photocopying when requested
- Run office errands when requested
- Maintain clean and organized office common areas including meeting rooms and kitchen
- Assist in management of stores by ensuring that all requests are done in line with the set procedures and ensuring that replenishment is done in a timely manner.
- Assist with conference facility set up.
- Carry out any other duties as assigned from time to time
Qualifications and experience
- A Diploma in Business Administration or any related qualification
- At least 3 years’ experience as an Administration Assistant
- Ability to meet deadlines with strong attention to consistency, detail, and quality.
- Excellent communications skills
- Excellent interpersonal skills, mature, disciplined, loyal, and show initiative with an ability to work independently and within a team;
