CARE Malawi has secured funding from the United States Department of Agriculture (USDA) for the McGovern-Dole International Food for Education and Child Nutrition Program, locally titled ‘Tiwoloka’. The funding runs from October 1, 2024, to September 30, 2029. CARE Malawi will implement the project in partnership with the Forum for African Women Educationists in

Malawi (FAWEMA) and Water Aid.

Therefore, CARE Malawi seeks to recruit well qualified persons to fill the following vacant positions within its USDA funded McGovern dole Food for Education program i.e. Tiwoloka Project in Malawi:

ACCOUNTS PAYABLE ANALYST

Position Description

The Accounts Payable Analyst will be responsible for working with the Shared Service Centre (SSC) for ensuring the timely processing of payments to Country Office (CO) and Tiwoloka project vendors, reviewing and monitoring of project advances and liquidations, reconciling and cleaning up of transactions in different Balance sheet accounts, ensuring that finance documents are accurate, the finance filing system is well-maintained in accordance with donor and CARE policies and procedures and supporting financial monthly soft close processes and audits.

Specific duties and responsibilities include the following:

  • Ensure accurate and timely receipt of payment requests and submission of payment information to the SSC for processing and preparation of Accounts Payable (AP) transactions.
  • Receive and verify payment requests from requesters, both by email and in hard copy so as to ensure proper monitoring of payment request received from staff through the CO.
  • Ensure that the Country Office payment processing and confirmation is in line with the service level agreement with SSC.
  • Communicate regularly with SSC and review PS information to check for compliance with service level agreement terms; including following up with SSC about any unrecorded payment request, timely reporting of any recording issue to the direct supervisor and timely addressing any feedback and concern raised by SSC related to any payment with exception or incomplete information.
  • Ensure completeness and accuracy of finance filing and provide support to internal and external auditors Ensure all payment vouchers and other related financial documents are well-organized and filed sequentially in a timely manner.
  • Support internal and external audit teams through prompt retrieval of finance vouchers for audit verification.

Required education and experience:

  • Bachelor’s degree in accounting /finance management or business administration.
  • Minimum of 3 years’ experience in a busy finance department for an International NGO.
  • Proficiency in Microsoft Office including good skills in using financial software applications.
  • Fluency in English language and written communication.
  • Thorough understanding of financial accounting and good attention to detail.
  • Ability to produce high quality work and balance competing priorities within demanding time frames
