Malawi Electoral Commission

The Malawi Electoral Commission, “the Commission”, is a body corporate created under Section 75(1) of the Constitution, to supervise, direct and preside over the conduct of all elections in Malawi.

In accordance with Section 13 of the Malawi Electoral Commission Act, the Commission seeks to appoint suitably qualified persons with relevant experience to fill the following vacant position within its secretariat:

Location: MEC Head Office and Regional Elections Office – North and South

Purpose

To ensure proper and timely receipts, storage and documentation of stock materials.

Key duties & Responsibilities

  • Overseeing the day-to-day operations of the Commission’s stores unit, including receiving, storing and issuing materials, equipment and supplies.
  • Ensuring proper organisation and categorisation of items, maintaining a systematic inventory management system.
  • Conducting regular stock inspections to assess the condition of stored items, identifying any damaged, expired goods or items approaching expiry, and taking appropriate action for disposal or replacement.
  • Maintaining optimal inventory levels of office supplies, equipment and materials to meet operational needs.
  • Conducting periodic stock taking and reconcilling inventory records to identify discrepancies or shortages
  • Collaborating with relevant departments to forecast future supply needs based on operational requirements and consumption trends.
  • Updating ledger
  • Producing stores report monthly (such as inventory, disposal recommendations)
  • Receiving and issuing all stock and non-stock items, including raising of all necessary documentation in relation to the received items.
  • Ensuring that all stock items are properly stored in the right place and conditions.
  • Monitoring stock levels and reporting findings.
  • Providing general administrative support to the Administration and Human Resources department filing, record-keeping and data entry tasks.
  • Collaborating with users/user departments.
  • Issuing stationery and expendables
  • Safeguarding storeroom facilities and inventory against theft, pilferage, damage or unauthorized access and implementing appropriate security measures as necessary.
  • Maintaining records of electronic gadgets, equipment and assets procured by the Commission, including details of user, location, price, condition and usage history.

Qualification

Diploma or Advanced Diploma in Procurement and Supply Chain Management, CIPS.
