Malawi Electoral Commission

The Malawi Electoral Commission, “the Commission”, is a body corporate created under Section 75(1) of the Constitution, to supervise, direct and preside over the conduct of all elections in Malawi.

In accordance with Section 13 of the Malawi Electoral Commission Act, the Commission seeks to appoint suitably qualified persons with relevant experience to fill the following vacant position within its secretariat:

Job Title: Warehouse Supervisors
Number Required: 2
Grade: C7
Responsible to: Warehouse Manager
Location: Regional Election Offices (Blantyre and Mzuzu)

Purpose

To lead the storage, distribution, retrieval and disposal of electoral material and supplies.

Key duties & Responsibilities

  • Coordinating with the Warehouse Manager on warehouse operations, personnel workload and scheduling issues.
  • Monitoring stock levels and conducting physical counts and recounting with data storage systems.
  • Scheduling inbound deliveries
  • Supervising and coaching of Warehouse Staff
  • Implementing materials receipts and distribution schedule
  • Planning logistics of electoral materials.
  • Maintaining records, documenting necessary information and utilizing reports in the Warehouse.
  • Measuring and reporting the effectiveness of warehousing activities.
  • Conducting staff appraisal from time to time
  • Organizing and maintaining inventory and storage area
  • Ensuring accuracy in receipts, inventory and dispatch transactions.
  • Determining staffing levels and assign workload
  • Identifying areas of improvement and establish innovative or adjust work procedures and practices
  • Ensuring that routine inventory counts are completed and verified in a timely manner as per the policy
  • Ensuring that procedures are completed in accordance with established Logistics and Warehouse processes as per Generally Accepted Principles (GAP)
  • Ensuring compliance with laws and regulations on occupational Health and Safety.
  • Preparing and submit regular warehouse inventory and disposal reports

Qualifications

Diploma in purchasing and Supply/ Logistics/ Supply Chain

Age

25 – 35 years

Core competence

  • At least 3 years work experience in a warehouse operation.
  • Proven work experience as a Warehouse Supervisor Highly effective supervisory skills and techniques
  • Knowledge of warehouse management system software packages and MS Office proficiency
  • Ability to input, retrieve and analyses data
  • Hands-on commitment to getting the job done
  • Excellent communication and interpersonal skills
  • Proven ability to direct and coordinate operations
  • Strong organizational and time management skills.
