PMI Evolve Malawi Project is funded by the U.S President’s Malaria Initiative (PMI/USAID) to support the Ministry of Health through the National Malaria Control Program (NMCP) in the distribution of Insecticide Treated Nets (ITNs) in 5 districts during the 2024 mass ITN distribution campaign with the overall goal of reducing the burden of malaria. The PMI Evolve project is implemented by Abt Global LLC.

PMI Evolve Malawi Project, with support from the District Councils and NMCP, is hiring temporary staff to support the distribution of ITNs in the 5 districts namely Balaka, Mangochi, Nkhotakota, Nkhata Bay and Salima. All the positions are temporary, with a duration of 10-20 days.

Job descriptions and qualifications required for the positions.

 

1.1 Warehouse Manager (1)  

Specific responsibilities:  

  • Managing the warehouse in line with Abt’s standards and policies in warehousing.
  • Overseeing the receiving, warehousing, distribution, and maintenance of records of all materials stored in the warehouse.
  • Ensure the warehouse is well secured and organized.
  • Maintain and follow the safety protocols for workers and equipment.
  • Controlling and managing inventory and ensuring efficient delivery of materials.
  • Managing, supervising, training, and motivating warehouse employees or workers.
  • Performing general maintenance and repairs of all necessary equipment.
  • Ensuring that ITNs and all ITN distribution materials are allocated and distributed or transported to districts on time and in accordance with the distribution plan.
  • Attend to material requests and timely dispatch requested supplies to districts.
  • In liaison with the Distribution Site Store Manager and Storekeepers, plan and organize logistical needs and movement of ITNs and other materials to and from various distribution site stores in various districts (reversal logistics).
  • Carry out regular inventory of all project equipment and stocks and report to the Vector Control Manager.
  • Sort items, placing them in the appropriate and safe locations, considering size, weight, available space, and light exposure.
  • Prepare the work schedule for warehouse workers.
  • Any other duties that may be assigned from time to time.

Qualifications and requirements:  

  • A minimum of a Certificate in Logistics, Supply Chain Management, Business Administration, Management, or a related field.
  • Experience in handling basic logistic issues in an established organization.
  • Willingness to work during odd hours, under pressure and cope with difficult conditions.
  • They should also be able to easily adapt to the changes in the delivery schedule or other events coming up.
  • Candidates with documented logistics and warehouse management experience will have an added advantage.
  • Applicants should be aged 25 years old and above.

1.2 Distribution Site Store Manager (28)  

Specific Responsibilities:  

  • Provide overall oversight, leadership, and management of ITN distribution campaign activities at distribution store site level.
  • Responsible for overseeing all daily administrative operations for the distribution store site, including planning of distribution, allocation of distribution assistants, etc.
  • Supervise and provide direction to all support staff at the distribution store site level.
  • Responsible for managing distribution store site level project deliverables including planning and coordination of all activities for the distribution campaign in collaboration with the Vector Control District Coordinator.
  • Lead efforts in facilitating activities at the distribution store site level; ensure timely implementation and smooth operation of pre-distribution and distribution activities.
  • Collaborate with Vector Control District Coordinator in facilitating and conducting training, where necessary, for other support staff e.g. guards at distribution store site level.
  • Ensure a strong integration, coordination and collaboration between community health workers and all support staff at the distribution store site level before and during distribution.
  • In collaboration with Health Facility supervisors, ensure that villages to be distributed the following day have been prepared (according to the distribution calendar).
  • Conduct daily morning briefings to the entire site team and assign Distribution Assistants to targeted distribution sites/points based on the distribution calendar.
  • Perform any other duties that may be assigned from time to time.

Qualifications and requirements:  

  • A minimum of a Diploma in Environmental Health, Community Development, Business Administration, and any other related field.
  • Experience in managing and supervising field teams, with good communication and interpersonal skills.
  • Willingness to work during odd hours.
  • Candidates with documented ITN distribution experience will have an added advantage.
  • Applicants should be aged 25 years and above.

1.3 Storekeeper (28)   

Specific Responsibilities:  

  • Managing the stores in line with Abt’s standards and policies in store keeping.
  • Overseeing the receiving, storage, distribution, and maintenance of records of all materials stored.
  • Ensure the storeroom is well secured and organized.
  • Controlling and managing inventory and ensuring efficient delivery of materials.
  • Ensuring that ITNs and all ITN distribution materials are allocated and distributed or transported to distribution sites/points on time and in accordance with the distribution plan.
  • Attending to material requests and timely dispatch requested supplies to distribution sites/points.
  • Plan and organize logistical needs and movement of ITNs and other materials to and from distribution sites/points (reversal logistics).
  • Carry out regular inventory of all project equipment and stocks and report to the Warehouse Manager.
  • Keep and update stock cards of each item in the distribution site store.
  • Ensure that all ITNs, when issued or reversed, are documented and its database is well secured.
  • Submit weekly reports of the distribution site store.
  • Take care of the cleanliness and the good maintenance of the distribution site store.
  • Oversee daily store operations and maintain stocks according to prescribed inventory system.
  • Ensure proper storage and identification of all campaign commodities.
  • Provide oversight on property management and inventory control at the distribution store site.
  • Ensure security of any other materials issued for work.
  • Keep track of receipts and records regarding movement of all campaign commodities in and out of the distribution store site.
  • Ensure timely replenishment of needed supplies in consultation with the Distribution Site Store Manager and the Warehouse Manager.
  • Perform any other duties that may be assigned from time to time.

Qualifications and requirements:   

  • A minimum of a certificate in Logistics, Supply Chain Management, or a related field.
  • Knowledge of computer applications i.e., Word and Excel.
  • Previous experience in stock or stores management, tagging will be an added advantage.
  • Willingness to work during odd hours.
  • Applicants should be aged 25 years old and above.

1.4 M&E Assistant (28)  

Specific Responsibilities:  

  • Facilitate trainings, troubleshooting, coaching on M&E for distribution teams.
  • Follow up and obtain feedback from distribution teams daily on data quality issues.
  • Review digitized forms and any other forms daily and provide feedback on errors to facilitate timely correction.
  • Liaise with distribution teams in resolving any data completeness issues and geography.
  • Ensure proper usage of the iCHIS platform including geography by distribution teams, supervisors during registration and ITN distribution.
  • Conduct Data Collection Verification in the field and Error Elimination Checks at the data center.

Qualifications and requirements:  

  • A minimum diploma in community development, statistics, and any other related field.
  • Ability to multitask, have leadership and supervision skills.
  • Competent in using online database.
  • Computer literate in MS word, Excel, and power point.
  • Experience in data entry and cleaning.
  • Certificate in Data Management or Monitoring and Evaluation is an added advantage.
  • Willingness to work during odd hours.
  • Willingness to travel extensively to villages where registration and distribution is being done (Approximately 60% of the time).

1.5 Finance Assistants (28)  

Specific Responsibilities:  

  • Work closely with the Accountant and the Finance and Administration Manager to establish and implement proper accounting procedures, systems, and internal controls.
  • Create and share financial data from field sites besides verifying the accuracy of information/support documentations and reasonableness of costs.
  • Assist in monitoring and reconciling the debtors and creditors’ records at distribution store sites.
  • Organize the financial document filing system for field office.
  • Collect daily attendance sheets as per the required working hours for each support staff.
  • Assist in preparing payrolls for all support staff by verifying daily attendance sheets against the recommended payment rates per day.
  • Collect all contracts of support staff at distribution store site level and submit them to the Vector Control District Coordinator.
  • Ensure timely submission of all expenses and fund requests at distribution store site level.
  • Assist with the fuel card management and maintain the fuel usage records at the site level.
  • Perform any other duties that may be assigned from time to time.

Qualifications and requirements:  

  • A minimum of a certificate in Financial Accounting, Accounting, Business Administration, Logistics and Supply Chain Management.
  • Experience in financial management.
  • Willingness to work during odd hours.
  • Applicants should be aged 25 years old and above.
