Temporary Office Assistant, Malawi

Role Purpose

To support British Council Malawi’s projects and operations in line with our strategic plans. The role is an opportunity for a a highly motivated individual to support a busy operation and deliver a high-impact suite of programmes whilst enhancing their skills in the process.  This is a short-term, non-permanent worker role.

Main accountabilities but not limited to the following:

The accountabilities cut cross-office operations as well as project delivery, enabling the NPW to to work with and learn from more experienced colleagues.

Finance and Administration Support

  • Assist the Office Administrator in liaising with suppliers and stakeholders, both internal and external.
  • Assist with Invoice scanning and onward submission to relevant units, ensuring that vendors are paid on time
  • File management of key documents, including contracts, invoices, delivery notes, etc
  • Assist the office administrator with month-end processes (Pre-closing, Reviewing, Closing and Reporting)
  • Assist the office administrator with the preparation of returns to local authorities, including VAT
  • Co-ordinate collection of vendor statements to enable monthly creditor reconciliations
  • Provide clerical support to the wider office, which may include photocopying, scanning, and binding documents

Facilities Management Support

  • Support in  day-to-day maintenance of premises, security and provision of a comfortable working environment.
  • Ensure that office inventory is regularly updated as per agreed schedule

Support operations and existing projects delivery

  • Provide logistical support to specific projects and initiatives, including – and event planning and evaluation.
  • Sourcing quotations and invoices for project activity budgeting and payments,
  • Provide administrative support to existing projects, including contract register management and tracking
  • Administer participant surveys, develop stakeholder databases, and support  problem solving.

All duties and responsibilities will be in line with our EDI policy, safeguarding policy, and other corporate policies.

Role-specific knowledge and experience:

Essential requirements:

  • Must be recent entrant to the workforce (within the past 4 years) with a Bachelor’s Degree in Business management or project management for relevant field
  • Ability to work with little supervision on basic tasks
  • Attention to detail
  • Ability to organise, co-ordinate, and handle multiple tasks
  • Confident to engage with participants at events
  • Familiarity with using social media platforms  is an added advantage

Desirable:

  • Interest in education, operations management
  • Experience of working in an international organisation
