Project HOPE Namibia – Malawi (PHN-MA) invites Suppliers/Service Providers/Contractors to submit documents and information required to conduct Vendor pre-qualification proceedings for a period of thirty-six (36) months, from the 2024 Financial Year.
Procurement Categories
- Assorted office furniture and accessories
- Assorted office stationery, consumables, and supplies: e.g. Printing paper, pens, consumables like toners and cartridges, cleaning materials and equipment etc.
- IT equipment and Accessories
- Printing, branding and designing services e.g. Manuals, Registers, Folders, Brochures, T-Shirts, Banners, Calendars, Stickers, Caps, IDs and other communication aides.
- Conference facilities (package), catering services and accommodation in the following districts: Blantyre, Lilongwe, Machinga, Mangochi, Chikwawa, Thyolo, Mulanje, Phalombe and Zomba.
- Vehicle Hire Services: For in-town administration errands, airport pick-ups and drop-offs and field trips within Malawi, e.g., salon cars, 4×4 station wagons, pick-ups and 2-7 tonner vans/ trucks.
- Insurance services
- Installation, servicing, maintenance and repairs of office equipment.
- Recruitment agencies
- Sports items: including footballs, net balls, and board games, sportswear, traveling bags, cones etc.
- Fuel supplies (Gas stations) and lubricants in the following districts: Machinga, Mangochi, Lilongwe, Blantyre, Chikwawa, Phalombe, Thyolo, Mulanje and Zomba.
- Security services; guarding and intruder detection for office premises and property.
- Internet Service providers
- Photography and videography (audio-visual documentation of program activities).
- Courier services within and outside Malawi.
- Motor vehicle servicing, repairs, maintenance, spare parts and accessories.
Qualification Requirements
A Supplier/Service Provider/Contractor must submit the following documents and information before the deadline of submission. The documents must be orderly arranged and properly marked. Failure to submit any document or information mentioned in this advert will lead to disqualification.
- Copies of documents defining the bidder’s legal status i.e. Certificate of Incorporation with shareholders/members and certified copies of identity cards.
- Registered Office details including Physical/Postal address, Trading Licence, TPIN number, VAT registration number, Valid Tax Clearance Certificate, PPDA certificate and Tourism Certificates for Hotel Services category.
- Cover letter on the company letter head, that includes the company profile, experience and preference of “Procurement Categories” in a sequence of choice, the top three categories will be given preference during procurement sourcing.
- A valid partnership agreement in the case of a partnership, a valid joint venture agreement in the case of a joint venture or a valid agreement in case of other similar arrangements.
- Minimum of three (3) or more Purchase Orders with their delivery notes/job cards/ completion certificates for each respective category applied for pre-qualification.
Evidence should not be older than twelve (12) months. - Declaration of disclosure on any matter where the Suppliers/Service Providers/ Contractors had been taken to court or before arbitration proceedings for performing/ delivering sub-standard work/goods/services, on the company letterhead.
- Three written references from your key/reputable organizations/customers
- Attach a proof of valid Bank Confirmation letter.
- Bank statements endorsed and stamped by the bank for the period of the past 6 months.
- Evidence of financial capability (i.e. Recent Audited Accounts for the past 2 recent audits).
- Name(s) and contact numbers of the bidder’s Representative/Directors) to be contacted on the matter of the Bid during the Biding period and future business.

Sealed in a single envelope, clearly marked “PRE-QUALIFICATION OF SUPPLIERS FOR 2024-2027” and indicate the “CATEGORIES” applied for, to be submitted at the at Project HOPE Namibia-Malawi offices,

Late submissions will not be considered.

Please note that this is only pre-qualification process and does not constitute any offer of business, PHN-MA shall undertake evaluation including suppliers visits as part of the evaluation process and only successful firms shall be notified.
