Organizational Setting

FAO, in cooperation with the Government of Malawi and other relevant partners are incepting the project on Ecosystem-based Adaptation for Resilient Watersheds and Communities in Malawi (EbAM). The project aims at building climate resilience in vulnerable watersheds and communities through increasing climate resilience of watershed ecosystems, stabilizing productivity and farmers’ incomes and enhancing enabling environment. Total cost of the project is estimated at USD 53.2 million, which will be co-financed by the Green Climate Fund (GCF), FAO and the Government of Malawi. The project will be implemented in 11 targeted districts in different regions in Malawi over a period of 6 years. Around 575,000 vulnerable people in rural communities will benefit from project interventions and more than 83,000 heIPOres of land will be restored through application of Ecosystem-based Adaptation approach.

The positions are located in Mzuzu and Blantyre.

Reporting Lines

The National Administrative and Finance Specialists (NAFS) will be based at the two EbAM Regional Project Implementation Units (RPIUs) in Mzuzu and Blantyre (one at each RPIU); and will work under the overall supervision of the FAO Representative (FAOR) in Malawi, the direct supervision of the International Administrative Officer (IAO), and the day-to-day coordination of the Head of respective RPIU.

Technical Focus

The National Administrative and Finance Specialists (NAFS) will perform a variety of routine administrative and finance tasks and office support functions contributing to the smooth operation and proper functioning of the FAO Regional Offices in Blantyre and Mzuzu, with a major focus to the RPIUs.

Tasks and responsibilities

  • Retrieve, enter, select and analyse data from a wide variety of sources, verifies accuracy of data documents; make necessary calculations and products management accounting reports.
  • Collect banking details of vendors for registration in GRMS.
  • Manage outposted petty cash for the regional offices.
  • Make payments for Operational Advances as requested and reconcile payments made.
  • Make small field cash payments to vendors.
  • Identify venues for workshops and conferences; sets up venues in readiness for meetings.
  • Make the procurement and arrange refreshments for meetings.
  • Coordinate the work of cleaners, drivers and security services of the regional offices.
  • Ensure proper management of assets and inventories of the regional offices.
  • Filing of financial documents to ensure ease of retrieval.
  • Any other related duties as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements    

  • University degree in Business Management, accounting or other related fields.
  • Three years of experience in working on administration, finance or office support.
  • Working knowledge (level C) of English and Chichewa.
  • Nationality of Malawi.

  • Relevance of experience in working with UN agencies or other international organizations.

Selection Criteria

  • Desirable experience with International Organizations and Government entities.
  • Possession of any other UN official language is an advantage.
